Privacy policy
DocPilot IA clarification — orders, licences and support
Clarification updated on 24 October 2026. This section explains processing specific to digital products and supplements the Shopify information below. It changes neither statutory guarantees nor refund conditions.
Order and licence data
To issue a licence and handle support requests, we use the requester’s contact details, order reference, product and edition, organisation name and, where required by the licensing mechanism, the workstation or server identifier or technical fingerprint contained in the activation request. Emails may also contain express agreements, their date and confirmation of digital supply. We limit these data to what is necessary for delivery, evidence of agreements, support and prevention of unlawful use.
Ordinary activation does not require sending student records, customer documents or a complete business database. Local software does not imply that those records are automatically transmitted to DocPilot IA. Before a diagnosis requiring a file, agree its scope with support and prefer fictitious or anonymised data.
Legal bases and separate choices
Order management, licence delivery and contractual support rely on performance of the contract; invoicing and legal duties rely on applicable law; security, fraud prevention and defence of rights may rely on legitimate interests after considering your rights. Processing requiring consent, including certain cookies and marketing, does not rely solely on acceptance of the terms of sale.
Consent to early delivery and acknowledgement of loss of withdrawal rights are not marketing consent. Refusing optional cookies or marketing does not prevent guarantee claims or receipt of messages necessary for an order.
Retention and recipients
Data necessary for a licence are retained for the period justified by its management and contractual duties, with review of their necessity. Order, agreement and complaint evidence may be archived with restricted access for the applicable limitation period, generally five years after the relationship ends or the last relevant event, subject to litigation or another obligation. Accounting records are retained for the applicable statutory period, generally ten years. Such archives are not used to extend marketing.
Shopify, the digital-delivery tool and payment providers perform their respective functions. Complete financial data referred to in the policy may be processed directly by payment providers; never send them to support. Withdrawal, return or refund information in an account describes a request and does not guarantee commercial acceptance.
Your rights
Contact: contact@docpilotia.com, telephone +33 7 49 59 42 93. Correspondence address: Hai elzitoune bloc B1 N10, Oran, 31000, Algeria. The Contact details distinguish correspondence from the identification address currently published. An erasure request does not require deleting evidence that a legal duty or defence of a right requires us to retain.
GDPR requests are handled within statutory deadlines, generally one month, with a reasoned extension where the legal conditions are met. You may complain to the CNIL or the competent authority. See also the Terms of sale and Refund policy.
