Standalone Windows or student mobility portal: choose your mode.

LOCAL

An independent International Office, on Windows.

The Admin or Manager handles the entire record, including information normally entered by students. Core workflows run without an external server or mandatory software subscription. The student portal is disabled.

Install → personalise → import → manage mobility.

INSTITUTIONAL

An Admin back office. An individual student space.

A server distribution is supplied to centralise data and support named accounts. Students edit only authorised fields; staff review, correct and validate records. Your IT team prepares Windows Server, the public domain and HTTPS, then completes acceptance testing of its deployment before launch.

Local → Institutional migration reuses a compatible backup/restore process: records do not need to be rebuilt. It requires a prepared server, licensing for the target host and migration acceptance testing. It is not one-click cloud deployment.

Less re-entry for your International Office.

A document in an email, a date in a spreadsheet, a validation elsewhere: scattered records create repeated entry. MobiliaDesk connects records, documents and review stages so staff can identify what is missing and what can move forward.

Student mobility management, from application to return.

Records and destinations

Students, applications, partners and destinations, incoming and outgoing mobility, dates, durations, statuses and checks.

Documents and follow-up

Before/during/after evidence, document tracking, search and filters, deadlines, alerts and permission-based archiving.

Academic validation

Syllabuses, courses, grades and checks. Validation keeps its document prerequisites; local staff workflows do not require a student account.

Management and reports

Dashboard, eight KPIs, statistics, reports and PDF/Excel/CSV exports depending on the screen. Figures follow the selected scope.

Document automation: hybrid transcripts and mobility certificates.

Record data feeds the available documents using your configured templates and signatories. Reduce repeated entry, keep a common structure and connect documents to their records.

Hybrid transcript

Combine the academic elements supported by the record and generate the transcript after required checks.

Pre-departure certificate

Produce the available mobility certificate for administrative procedures, including visa applications.

Final mobility certificate

Generate the certificate after the stay when closing and validation requirements are met.

Your institution reviews the content and signature before use. A certificate does not guarantee a visa or acceptance by a third party.

Mobility dashboard, KPIs and reporting.

At-risk departures, documents awaiting review and returns to validate: the overview helps staff prioritise. Filter by year, cohort, country or mobility type. Numerators and denominators distinguish reported completion, International Office validation and current records.

Windows installation and institution setup.

  1. For Local, run the chosen Windows edition installer, then its Desktop shortcut. For Institutional/Premium, follow the server distribution guide. Local use requires no terminal or manually entered IP address.
  2. Create the first administrator and enter the organisation details.
  3. Configure the logo, academic year, cohorts and mobility rules in settings.
  4. Define required documents before, during and after mobility; configure available signatories and templates.
  5. Prepare CSV/XLSX imports using the supplied templates for supported categories: students, mobility, users and academic records. Check the preview before importing.
  6. Map historical records to the supported categories. Partners or historical data without a dedicated template need manual entry or an adapted migration.
  7. Remain local or have your IT team prepare the institutional server.
  8. Check a record, an export and a generated document; create and restore a backup in a test environment.

Setup combines first launch and settings pages; it does not automate the entire migration or deployment. FR and EN editions use separate data workspaces and share licensing rights on the authorised machine.

Wrong edition or database

Check the kit language and data workspace. Editions do not automatically synchronise records.

Rejected import

Use the right template, fix flagged rows and review the preview. Do not overwrite the database to bypass validation.

Rejected licence

Use the original signed file on the machine that created the request, then verify organisation, product and fingerprint.

Changing business rules

Create a complete backup before changing settings. Reinstallation does not require deleting records.

Security, user roles and mobility record backups.

Authentication, roles, sessions, request protections, logging and backups are implemented. Institutional Admin, Delegated Admin, Manager, Read-only and Student roles have distinct scopes. Archives, licensing and restoration are owner-only.

The client reverse proxy provides HTTPS. Business backup ZIP files are not encrypted by the application: the client must protect and encrypt off-device storage. No permanent vendor access; remote assistance requires explicit, temporary and revocable authorisation.

MobiliaDesk EN: Local and Institutional settings, fictional data

Institutional deployment on Windows Server / cloud.

Windows server → central database → domain → DNS → HTTPS proxy → storage → configured email if needed → Admin accounts → invitations → backups → updates.

The kit includes configuration examples and a guide explaining what to do, why, expected results and common issues. Architecture: one instance, one process/worker, SQLite on the server’s local disk. No high availability, cluster or unlimited connection capacity is promised. Do not place the live database on SMB/NFS.

Watch MobiliaDesk: from student records to documents.

Narrated presentation with fictional data. Institutional sequences show functions tested in an acceptance environment; they do not establish qualified public hosting.

A practical International Office example.

Fictional Horizon Institute prepares Lina’s semester in Valencia. In local mode, the Manager completes the record, reviews evidence and prepares the pre-departure certificate. After the stay, staff check the return and grades before producing final documents. In an accepted institutional deployment, Lina uploads her authorised evidence herself; staff retain validation control.

FAQ: licences, Erasmus+ tracking and student portals.

Can I work without Internet?

Core local functions do not need a permanent connection. Online maps, external links and configured email services may require Internet.

Can I start locally and migrate later?

Yes, using a compatible backup/restore process, stopping the source, licensing the new host and checking records after migration. Changing a setting does not deploy a server.

Is the software connected to Erasmus Without Paper?

No validated EWP/OLA connection is claimed for this delivery. MobiliaDesk can track Erasmus+ mobility internally; it does not replace official EWP data exchanges.

Do FR/EN editions share records?

Editions share licensing rights on the same authorised machine, but keep separate data workspaces. Records are not automatically synchronised.

How does activation work?

The Admin generates a .dprequest with organisation and order reference. The seller checks the purchase and issues a signed .dplicence for import on the target machine.

Are cloud hosting and support included?

The client pays and manages infrastructure and third-party services. Local includes 30 days of installation assistance by email; Institutional, 2 startup hours; Premium, 10 hours in total and 12 months of priority email support, limited to 12 distinct requests. Corrective updates last 12 months; later maintenance is optional and separate.

What happens after purchase?

Download the ZIP for your selected offer and language. Follow the startup guide, generate your .dprequest and send it with your order reference to receive the signed .dplicence. Issuance requires verification; activation is not instant.
